The iLobby Visitor Management System is a cloud based software solution that allows visitors to do self-registration in the WSLH lobby prior to being escorted by their host into the building. It provides a variety of features that will be used to manage visitors at WSLH locations. Each location will be rolled out independently. Visitors can also do on-line pre-registration to simplify the on-site registration process. Following is a list of some of the features provided by the iLobby system.
* Pre-registration - iLobby provides integration with the Microsoft Exchange email system used at WSLH. This only applies to the WSLH email, not the UW (wisc.edu) Office 365 email accounts. Detailed instructions on the process used to send out the pre-registration notifications are in the attached article called iLobby Registration Procedures.
* On-site registration - Scheduled visitors will be guided to the Kiosk in the lobby where they can self-register for their visit. Once complete, a visitor badge will automatically print and an email, text, or both, will be sent to their host notifying them that they have arrived.
* Expedited on-site visitor registration - As part of the pre-registration, the visitor can print and/or save the QR code that is emailed to them to use at the kiosk to expedite their registration. They will only have to take the photo, answer the COVID questions, and the rest is automated including printing their badge and notifying their host about their arrival.
* iLobby Mobile App - iLobby provides a mobile app that will be utilized by a number of individuals at each location. This allows for identification of all current visitors at any facility in case of an emergency. They can also register visitors and check visitors out from the app along with other management features.
* Easy Check Out - Each visitor can use the QR code to check out of the facility. Or they can just type their name in the Kiosk and select check out. The host is responsible for their visitors to ensure they have checked out of the facility. Host will be notified by the system if their guests did not properly check out of the building.
There are four attachments to this article. One is detailed instructions on how to register a visitor. It also details the process to use Outlook to invite your visitors. There are specific steps that must be followed for that process. Another document is the commonly asked questions about iLobby. The third document is the confidentiality agreement that the visitors will sign.
